The short answer
An administrative assistant resume should describe the records, schedules, documents, and requests you handled, along with the tools and checks you used. Match relevant tasks to the posting, keep your authority clear, and use real examples of coordination or follow-through instead of unsupported claims about efficiency.

Describe the office workflow, not just the responsibility
Explain what you handled and the next action it supported. Maintaining a request tracker, checking required fields, and confirming appointment changes tell a reader more than “responsible for office work.” Include the tool when it matters to the task.
Keep decision-making authority clear. Preparing an invoice for review is different from approving payment. Scheduling a meeting is different from managing an executive’s complete calendar. Use your actual job title and responsibilities.
- Name the record, document, schedule, or request you handled.
- Explain how you checked accuracy or followed up.
- Identify tools you used for a real task.
- Distinguish preparation and coordination from approval authority.
Show organization without invented productivity claims
Use a reliable figure when you have one and can explain its period and source. When a count or saving is unknown, describe an observable contribution: flagged incomplete forms, used a consistent file naming system, or summarized open requests before a handover.
Do not import a percentage reduction or ticket volume from an example. Specific tasks, checks, and outputs let the reader assess your work without unsupported numbers. Keep confidential customer and employee records out of a public portfolio.
Adapt the same background to the actual role
Compare the posting with your real work. A scheduling role may call for appointment coordination; a records role may need document checks and filing. Bring the relevant evidence forward while keeping employers, dates, and duties consistent.
If you are a graduate with OJT experience, use the fresh-graduate guide rather than claiming this sample’s paid role. For remote or VA applications, describe transferable office work accurately and add separate project evidence for tasks you have newly learned.
Connect the task to your evidence
| Your experience | What it can demonstrate | Keep the distinction clear |
|---|---|---|
| Excel request tracker | Keeping status, owners, and missing information visible | Not database administration unless you performed that work |
| Appointment confirmations | Scheduling and communicating changes | Not complete executive-calendar ownership by default |
| Document checklist | Careful review and escalation of incomplete forms | Preparation and checking are separate from approval authority |
