PDF vs DOCX Resume for ATS: Which File Should You Submit?
Choose PDF or DOCX based on the application instructions, then check text extraction, reading order and the fields the portal fills from your resume.

The short answer
Submit the file type the employer requests. If both are accepted, a simple DOCX or a text-based PDF can be suitable. Check readable text, reading order and the information the application portal fills from the document. A file extension alone does not guarantee accurate parsing.
Can applicant tracking systems read a PDF?
Lever documents parsed resume information from PDF or Word attachments. Greenhouse warns that image-only files and complex formatting can prevent successful parsing. Those examples do not establish identical behavior for every hiring platform. Lever developer documentation: Resumes. Greenhouse: Unsuccessful resume parse.
Keep three separate questions in mind: does the portal accept the file, does it extract your information correctly, and does the content demonstrate the qualifications for the role? Passing one check does not settle the others.
PDF and DOCX: a practical comparison
| Check | Text-based PDF | DOCX |
|---|---|---|
| Appearance | Usually preserves the exported page layout. | Can reflow with different fonts or software. |
| Text | Needs actual selectable text rather than only a scan. | Ordinary body text is editable; text boxes and embedded images still need care. |
| Editing | Keep an editable source file for revisions. | Convenient when the employer asks for an editable document. |
| Submission | Use when accepted; inspect the exported result. | Use when requested or accepted; inspect the uploaded result. |
| Guarantee | No guarantee of parsing, ranking or an interview. | No guarantee of parsing, ranking or an interview. |
A five-step check before uploading
- Confirm the accepted extension and maximum file size in the vacancy or portal.
- Export from your editor. Avoid submitting a screenshot or scanned printout.
- Copy the text into a text editor. Read the name, contact details, headings, roles and dates in order.
- Inspect the original file for clipped bullets, missing characters, blank pages or broken links.
- After uploading, review and correct the fields the portal fills, when it allows edits.
Copy and paste is a useful local diagnostic, not a reproduction of an employer parser. A document can produce readable text locally and still populate a particular application form incorrectly.
If your PDF text comes out in the wrong order
A two-column document copies the skills list between the employer name and job title. Contact details become separated from the name.
Put the name and contact details in the main body. Use one column, conventional headings and ordinary text bullets. Export again and repeat the copy-and-paste check.
Keep the same factual content while changing the structure, so you can identify whether the issue comes from presentation rather than wording.
What about a Canva resume or a scan?
The design tool is not a parsing guarantee. Check the exported document: is its text selectable, does it copy in the right sequence, and do required fields survive upload? If your only copy is a scan, recreate it as editable text and proofread carefully.
What Resumiq checks
Resumiq can import text from a PDF and compare resume content with a job description. Its keyword estimate is separate from file acceptance and an employer ATS. Review the imported content and application form yourself; a high keyword score does not certify that every parser can read the file.
Frequently asked questions
Is PDF always better than DOCX for ATS?
No. Follow the employer instructions. When both are accepted, choose a simple document and check its text and the portal fields. Neither format guarantees correct parsing.
How do I know if my PDF is text-based?
Try selecting a sentence and copying it into a text editor. If you cannot select the words, it may be an image-only document. Review the copied text for accuracy and order.
Does a successful upload mean the resume parsed correctly?
No. A platform can accept an attachment without filling every candidate field correctly. Review the application information after upload when possible.
